Welcome to SalonVision AI. This guide covers the core concepts behind the app, how your account is structured, and what to set up before running your first consultation.

Core Concepts

Four concepts connect everything in SalonVision AI. Understanding how they relate to each other will make the rest of the app intuitive.

Client A client record stores everything related to one person: their photos, saved looks, consultation notes, tags, and prep history. Every generation you run must be linked to a client. You cannot generate a look without one selected first.

Look A Look is a saved result. It contains the original photo, the AI-generated preview, any reference photo used, style notes, tags, and optionally a final photo taken after the appointment. Looks live inside client records.

Generation A generation is one AI hairstyle preview image. Each time you tap "Generate New Look" and a new image is produced, that uses one generation from your monthly quota. Getting AI Recommendations and running an AI Consultation Report do not count as generations.

Consultation Session When you select a client and confirm consent in the Visualizer, a consultation session is created. This session ties your consent confirmation, the portrait, and all generated looks together for that visit. Sessions stay active for 48 hours, so you do not need to re-confirm consent if you continue work with the same client within that window.

How Your Account Is Structured

Your SalonVision AI account is tied to your login credentials. What you have access to -- and who owns the data you create – depends on how your account was set up.

Individual plan (Free, Starter, or Pro) Your account is yours. All clients, looks, and portfolio content belong to you and move with you if you change workplaces. You have a personal generation quota that resets on your billing cycle.

Salon seat only If you joined SalonVision AI through a salon invite link without a prior individual plan, your account operates within the salon workspace. Clients you create are owned by the salon, not by you. If you leave the salon, those client records stay with the workspace and you will not retain access to them. Generation quota is shared across the salon team, not individual per seat.

If you want to retain ownership of your client history, you will need an individual plan running alongside your salon seat. Clients created under your personal context belong to you; clients created under the salon context belong to the salon.

Salon seat with an existing individual plan If you already had a personal plan before joining a salon workspace, both contexts are available. You can switch between them from the header. Quota usage, client records, and analytics are tracked separately by whichever context is active when you work. Clients created in your personal context belong to you. Clients created in the salon context belong to the salon.

Salon owner You have both a personal context and the salon workspace context you created. Client records and analytics for the workspace are accessible to you as the owner, regardless of which seat member created them.

Note on client data export: The ability for seat-only stylists to export client records before leaving a salon is planned for a future update. Export options may require salon owner consent. Details will be added here when the feature is available.

Setting Up Your Account

Before running your first consultation, complete these three setup steps. They affect your portfolio, your public URL, and how clients and colleagues identify you in the app.

1. Set Your Username

Your username determines your public portfolio URL: salonvision.ai/p/yourusername. Once set, this is the link you share with clients and post on social media.

To set it:

  1. Click your account avatar in the top-right corner.
  2. Select Profile.
  3. Enter your desired username in the Username field.
  4. The app will confirm availability before saving.

Choose carefully. Changing your username later will break any links you have already shared.

2. Add Your Profile Photo and Business Name

Your profile photo and business name appear on your public portfolio page and in your salon workspace if you are on the Salon plan.

  1. From Profile, upload a clear headshot or logo (square format works best).
  2. Enter your business name if you operate under one, or leave it as your personal name.
  3. Click Save.

3. Write Your Portfolio Bio

Your bio appears at the top of your public portfolio page. It is the first thing a prospective client reads when they visit your URL.

  1. From Profile, scroll to the Bio field.
  2. Write a short description of your specialty, style, and approach. Two to four sentences is enough.
  3. Click Save.

If you skip the bio, a default placeholder will appear on your public page until you add one.

What Comes Next

Once your profile is set up, you are ready to add your first client and run a consultation.
