How the Salon Workspace Works

When a salon owner subscribes to the Salon plan, a workspace is created under their account. The owner invites stylists to fill seats in that workspace. Each stylist gets their own login and operates independently, but quota, analytics, and certain client records are shared at the workspace level.

There are two distinct contexts in SalonVision AI for Salon plan users:

  • Personal context -- your individual account, quota, and client records
  • Salon workspace context -- the shared team environment, with shared quota and workspace-scoped client records

The active context controls where quota is drawn from, where client records are created, and which analytics you see. You switch between contexts from the header.


Setting Up Your Workspace (Salon Owners)

When your Salon plan is activated, your workspace is created automatically. To get your team set up:

  1. Open Settings > Team Seats.
  2. Click Invite Stylist.
  3. Enter the stylist's email address and assign a role.
  4. Set an expiry for the invite link if needed.
  5. Click Send Invite.

The invite generates a secure link. SalonVision AI does not automatically email the invite -- you are responsible for sending the link to the stylist directly.

Repeat for each seat you want to fill. The Salon base plan includes 5 seats. Additional seats are available at $39 per seat per month, each including 50 additional generations.

Roles

Each seat is assigned one of four roles:

Accepting a Seat Invitation (Stylists)

When a salon owner invites you to a workspace:

  1. Open the invite link sent to you by the salon owner.
  2. If you already have a SalonVision AI account, sign in. Your existing account will be linked to the workspace.
  3. If you do not have an account, you will be prompted to create one as part of accepting the invite.
  4. Once accepted, the salon workspace appears as an available context in your header switcher.

Switching Between Personal and Salon Context

If you have both a personal plan and a salon seat, both contexts are available from the header.

  1. Click the context switcher in the top navigation.
  2. Select Personal or the name of your salon workspace.
  3. The active context updates immediately.

What changes when you switch context:

  • Quota drawn from the active context's pool
  • New client records are created in the active context
  • Analytics reflect the active context
  • The client list shows records belonging to the active context
Check your active context before starting a consultation. A client created under the salon context belongs to the salon. A client created under your personal context belongs to you. This distinction matters if you ever leave the salon. See Getting Started for a full explanation of data ownership by account type.

Shared Quota

On the Salon plan, all seat holders draw from a single shared generation pool. There are no individual quotas per seat.

The salon owner can see total quota usage and usage broken down by team member from the workspace analytics dashboard.

If the shared quota is exhausted before the billing cycle resets, any team member attempting to generate will see a quota reached prompt. The owner can purchase a generation pack to add 25 generations for $5 (available at general launch), or contact SalonVision AI about upgrading.


Team Analytics

Salon owners and admins have access to workspace-level analytics from Settings > Team Seats.

Analytics available:

  • Total generations used in the current billing period
  • Generations by team member
  • Active seats versus available seats
  • Invite funnel status (pending, accepted, expired, revoked)

Individual stylists see their own usage within the workspace but cannot see other team members' data.


Client Coverage

Client records created within the salon workspace are accessible to all active team members. This supports coverage when a client's regular stylist is unavailable.

To access a colleague's client:

  1. Ensure your active context is set to the salon workspace.
  2. Open Clients.
  3. Search for the client by name.
  4. Review their look history, notes, and prep sessions.
  5. Use Try New Style to start a new consultation with their history pre-loaded.

Coverage access applies only to salon workspace clients. Personal context clients are never visible to other team members.


Managing Seats

From Settings > Team Seats, the owner can:

  • View all active members and their roles
  • See pending invites and their expiry status
  • Revoke a pending invite before it is accepted
  • Remove an active member from the workspace

Removing a member: When a stylist is removed from the workspace, their seat is freed and can be reassigned. Client records they created in the salon workspace remain in the workspace and are accessible to the remaining team. The removed stylist loses access to those records.

If the removed stylist had a personal SalonVision AI account, that account and its personal context data are unaffected.


Data Ownership on the Salon Plan

This is the most important thing to understand before adding stylists to your workspace.

Client records belong to the context in which they were created:

A stylist who joins via a salon invite with no prior personal plan will create all clients in the salon workspace by default. If they leave the salon, those records stay with the workspace.

Salon owners should communicate this clearly to team members at onboarding. Stylists who want to retain ownership of their client history need an individual plan running alongside their salon seat, and must be deliberate about which context is active when creating new clients.

Note on data export for departing stylists: The ability for seat-only stylists to export client records before leaving a salon is planned for a future update. Export options may require salon owner consent. Details will be added here when the feature is available.

Frequently Asked Questions

Does each stylist need their own email address to join? Yes. Each seat invitation is sent to a specific email address, and each stylist logs in with their own credentials.

Can a stylist be on two salon workspaces at once? This is possible if invited to multiple workspaces. Each workspace appears as a separate context option in the header switcher.

What happens if the salon owner downgrades below the number of active seats? Existing seat members retain access until the next billing cycle. The owner will need to remove members to bring the seat count within the new plan limit before renewal.

Can I transfer salon ownership to another team member? Ownership transfer is not currently self-serve. Contact support at support@salonvision.ai if you need to reassign workspace ownership.

Does the Salon plan include a portfolio for each stylist? Yes. Each stylist seat includes a personal portfolio at their own SalonVision AI URL. White-label portfolio (removing SalonVision AI branding) is planned as an upcoming feature for the Salon plan.

What happens to the workspace if the owner cancels the Salon plan? The workspace and all seat access will be deactivated at the end of the current billing period. Client records in the workspace will no longer be accessible to seat members. Contact support before cancelling if you need to export workspace data.
